Tsebo Facilities Solutions is looking for a Switchboard Operator to answer incoming telephone calls at the IALCH switchboard.

Duties & Responsibilities

Incoming Calls:

  • Greey callers in a friendly and proffessional manner, following the Switchboard Script OP/TM/03/IALCH
  • Answer all calls promptly, aiming for minimum 15s answer time
  • Take detailed messages when users are not available
  • Pass messages on as soon as possible
  • Provide accurate information to callers at all times

Caller interaction

  • Adhere to the general telephone etiquette in form FM15 Switchboard assessment of Telephone skills
  • Handle difficult callers with respect and diplomacy
  • Follow all Switchboard Procedures

Emergency calls

  • Keep and updated emergency contact list
  • Make emergency calls as required by client
  • Keep a record of emergency

Switchboard database

  • Update th information continuosly as received

General

  • Adhere to TFS House rules and Safety, Health, Environmental and Quality Systems (SHEQ)(ISO 9001,ISO 14001 & ISO 18001)

Skills and Competencies

  • Computer literacy on MS Packages (Word, Excel, Access)
  • Excellent interpersonal skills
  • Telephone etiquette
  • Good communication skills
  • Attention to detail
  • Ability to plan, organise and control own work effort
  • Ability to manage more than one situation at a time
  • Ability to display proffessionalism

Qualifications

  • Grade 12
  • Secretarial or Telephone Certificate/Diploma would be an advantage
  • 1 – 2 year’s experience in similar environment
  • Customer services experience
  • Experience on busy electronic board
